How do I set up recurring invoices and payment reminders?

On the invoice, use the “Recurring” section to choose how often it repeats, and tick “Payment reminders” to email the client automatically when it’s due and overdue.

Steps

  1. Open the invoice.
  2. Under “Recurring”, choose a “Repeat” option: Every week, Every 2 weeks, Every month, Every 3 months, Every 6 months or Every year.
  3. Check “Next invoice on” (filled in for you) and optionally set “Until”.
  4. Under “Payment reminders”, tick the box to email the client on the due date, then at 3 and 10 days past due, until the balance is paid.
  5. Changes save as soon as you make them.

Good to know

  • On each scheduled date, a copy of the invoice’s line items, tax and notes is created, marked sent and emailed to the client with its own pay link. Missed dates are skipped, never back-billed.
  • Copies are marked “auto-generated” and link back to the original. Change the schedule on the original. Copies can’t have their own schedule.
  • The original lists the invoices “Generated so far”.
  • Reminders need a due date and a sent invoice with a balance. The status line shows the last reminder sent.
  • Changing the due date restarts the reminder sequence.
  • A copy of each reminder and recurring invoice goes to the “Billing notifications go to” address in Company Settings.
  • The billing job runs once a day.
