How do I create and send an invoice?
Create a one-off invoice from a client’s page (or from a project’s “Invoices” tab), add line items, then click “Send”. The client gets an email with a link to view and pay it.
Steps
- Go to “Clients”, open the client and click “One-off invoice”. Or open a project, click the “Invoices” tab, then “One-off Invoice”.
- The new draft invoice opens with the next number (INV-0001, INV-0002 and so on).
- Click “Add line item”, then edit the Description, Qty and Rate. Changes save automatically.
- Set the “Issued” and “Due” dates, and a “Tax rate (%)” if needed. Add “Notes”, such as payment terms.
- Click “Send” and confirm. The invoice is marked sent and emailed to the client with a pay link.
Good to know
- You need at least one line item with a total above $0, or you’ll see “Add at least one line item before sending.”
- If the client has no email, WorkHub still marks the invoice as sent and gives you a pay link to share yourself.
- If the email fails, a box shows the pay link so you can share it another way.
- “Pay link” copies the public payment link. It only works after the invoice has been sent.
- “Email invoice” appears on sent invoices and sends the email again.
- “PDF” opens a printable copy.
- Draft invoices are never shown to clients in the portal.
- Viewers can’t create or send invoices.
