How do I set up card payments with USAePay so clients can pay invoices online?

Online card payments use USAePay and are only available on the original WorkHub workspace. On that workspace, admins enter the USAePay details in Settings → Company Settings → Billing & payments. Other workspaces don’t have these fields; they show payment instructions on invoices instead.

Steps

1. Click Settings in the sidebar, then Company Settings.
2. Under Billing & payments, fill in:
   • USAePay API key and USAePay PIN from your USAePay account.
   • USAePay public key (optional; WorkHub fetches it automatically).
   • USAePay sandbox: choose Sandbox (test) for testing, Live for real payments, or Default to use the server’s setting.
   • Receipt sender address and Receipt sender name for payment receipts.
3. Click Save settings.

Good to know

• If you leave the keys empty, WorkHub keeps using the server’s default USAePay account, as it always has.
• Saved keys and PINs are never shown again. Type a new value to replace one, or tick Remove saved value to clear it.
• A sandbox key won’t work in Live mode, and a live key won’t work in Sandbox mode. Make sure the mode matches where the key was created.
